The company dive4life

The indoor diving center dive4life is one of the leading diving sports providers in the Rhineland. From recreational scuba diving and technical diving to specialist retail and online sales, the company covers all areas. The company operates three locations: a large store in Cologne, a diving base at Fühlinger See, and Germany's largest heated indoor diving center in Siegburg. Guests visit every day for courses, training sessions, or independent diving.

dive4life is led by Sebastian Reinwald. He has been self-employed in the diving sports industry for over 20 years and continuously develops the company with his expertise. That very growth also raised a key question: How can such a diverse offering be managed efficiently, digitally, and at scale?

The starting point: Existing systems are reaching their limits

Before introducing anny, dive4life tested various solutions to manage its bookings. But none of them could cover all requirements. At the Cologne location, courses were created and sold as products via a classic shop system. This simplified payment processing, but it was not particularly appealing visually and was not functionally sufficient. In Siegburg, a custom-developed system was in use, but it created too much administrative effort. Both systems served their purpose, but they increasingly reached their limits.

The day-to-day impact: every booking change, whether an equipment exchange, cancellation or invoice correction, required emails, phone calls or manual intervention. Invoices were issued separately, and incoming payments were reconciled manually. With hundreds of bookings per week, this effort became a real bottleneck. They needed a solution that not only improves individual processes, but automates the entire booking flow.

Why did dive4life choose anny?

dive4life was faced with the challenge of efficiently managing a wide range of different booking scenarios. This is exactly where anny proves itself as a flexible booking system.

Intelligent capacity management
Different types of dives place demands on resources in very different ways. For example, scuba divers move through the water differently than freedivers, who often stay in the pool longer and need more space. anny maps different resource requirements and booking logics and uses them to control availability and occupancy. Depending on the booking or selected add-on, such as diving equipment, additional resources and extras can also be booked in anny. This helps dive4life manage utilization dynamically so available resources are used optimally - without overbooking.

Group bookings with individual add-ons
When a dive school books 20 tickets for its students, each person needs individual equipment in different sizes. Individual add-ons can be booked for each person within the group. This makes it possible to precisely control which equipment is needed in which sizes. The information is captured directly in the booking in anny, so the dive4life team can prepare the equipment in advance. A key advantage for dive4life: customers can also edit their add-ons themselves afterward. Changes to the booked diving equipment can therefore be made at any time, without manual support effort for the dive4life team. Sebastian describes the effect of anny quite specifically:

Dynamic pricing and B2B terms
All payment processes, from booking through to possible refunds, also run automatically via anny. dive4life can flexibly map individual conditions. These include dynamic pricing rules such as early booking discounts, group rates, or surcharges on weekends or public holidays. Even different tax rates such as 19%, 7% and 0% within a single booking, as well as special conditions for B2B partners - for example different cancellation terms for partner dive schools - can be easily implemented with anny.

Club memberships and subscriptions
Club members at dive4life pay a monthly fee in the subscription model and receive free entry at the dive center. These subscriptions and the associated free bookings also run entirely through anny.

Blockers for exclusive bookings
If the entire dive center is booked exclusively for an event, closing times or blockers for exclusive bookings can be set up in anny with just a few clicks. All linked resources are automatically marked as unavailable.

The result: thousands fewer emails and almost no administrative overhead

Since introducing anny, daily work in the team at dive4life has changed noticeably: manual tasks that used to take a lot of time are now largely automated. Invoices are created directly in the system, payments are automatically matched, and courses no longer have to be entered manually one by one. Instead, recurring schedules can be created and resource availability is automatically organized. Sebastian reports that the employees quickly became familiar with anny:
