Within three weeks, Hamm-Lippstadt University of Applied Sciences has made over 2,000 resources digitally bookable. In this way, the university from NRW not only positions itself as future-oriented, but also shows how honest understanding of acute problems is expressed in innovation.

The logo of Hamm-Lippstadt University of Applied Sciences (HSHL) is emblazoned on the façade of the modern new buildings. The students can be proud of their university, because thanks to the cooperation with anny they once again have the opportunity to use the buildings and premises for the purpose for which they were intended.

Almost all rooms of the two locations of the university were created in 115 so-called resources with an average of 20 sub- or child resources each in our booking management system. This results in a remarkable 2300 time-bound resources, whose bookings since the introduction of the system of anny no longer have to be managed laboriously by hand, e-mail, telephone or attendance list. Since the end of September, everything runs via the intelligent system of anny. Just in time for the start of the new semester, the 6000 students at Hamm-Lippstadt University of Applied Sciences can now book their lecture and study space online.

The development of additional software features to suit the university's individual needs is part of the successful partnership.

In September 2020, the university was faced with the challenge of organizing the upcoming digital semester under the given circumstances with as few restrictions as possible. A booking system for controlled admission was needed that would keep the administrative effort low or even reduce it and additionally represent the complexity of the university.

As an agile start-up, we are always flexible and can respond to the individual requirements of our partners. In the case of the onboarding of Hamm-Lippstadt University of Applied Sciences, the additional feature of a secure self-check-in was developed within the three weeks.

The solution is self-check-in and self-check-out on the digital booking ticket itself. This way, users do not have to search for the function in a cumbersome way. "Apart from this core function, we have additionally implemented that people have to be within a certain radius to check in," Oliver Wycisk explains further. This means that self-check-ins are validated by querying GPS coordinates. In this process, the location data is only used for the purpose of one-time validation and is not stored. More on data security from anny here. Notable mechanism: If someone forgets to check-out, intentionally or unintentionally, our system detects this and checks out automatically. Optimal utilization is thus guaranteed.

How does Hamm-Lippstadt University of Applied Sciences use anny?

HSHL now successfully offers digital booking of lecture hall places, seminar rooms, laboratory places and also the consultation hours of lecturers. The university is taking full advantage of this feature. In order to clearly distinguish between the two locations, Hamm and Lippstadt, each resource is assigned the property "location". In addition, the university creates transparency at a glance by displaying the actual capacity and the capacity under Corona conditions. With just a few clicks, the bookable capacity will be able to be adjusted as soon as the premises are allowed to be fully occupied again.

No fixed time slots, more freedom for students

Great advantage for the students: They are completely free to allocate their booked time slot at learning places. Student Max wants to start at 8:15 and leave at 11:45? No problem. Student Sofie doesn't arrive until 8:45 and leaves at 2:00? No problem.

anny enables a correct calculation of the remaining spaces even with free time selection. Hamm-Lippstadt University of Applied Sciences was free to choose here according to its needs whether to offer free time slots or fixed time blocks. In the case of booking office hours, for example, a fixed time block of 15 minutes was selected.

More freedom for students is also given by the possibility of free place selection developed in cooperation .

By offeringanny as a progressive web app, students can conveniently download the HSHL web app to their smartphone's home screen. In addition, the university has integrated the booking page as an iFrame on its website.

A partnership that points the way to the future

Due to the personal and direct exchange between HSHL and anny, the system implementation was a complete success. The students have accepted the system very well and make thousands of bookings every day.
